Why We Ask for Documentation: Stewardship Behind Every Dollar
When someone reaches out to the United Way of Bristol for help, we know that asking for assistance is not always easy. Behind every call is a story. A person or family who may be facing an unexpected bill, a difficult circumstance, or a situation that has placed additional pressure on their household. We want people to know that when they reach out, we will listen, we will treat them with dignity, and we will do our best to help connect them with the right resources.
But sometimes, helping also means asking questions.
And sometimes, it means asking for documentation.
We understand that gathering paperwork can feel like an extra step—especially when someone is already dealing with a difficult situation. But there is an important reason we ask for information such as bills, notices, income documentation, or other verification. We have a responsibility to make informed decisions about how assistance is provided.
We Don't Just Hand Out Money
The United Way of Bristol is entrusted with charitable dollars given by individuals, families, businesses, and community partners who believe in our mission. Those donors work hard for their money, and they trust us to use it responsibly.
That trust matters.
When someone requests financial assistance, we cannot simply take their word for it and distribute funds without understanding the circumstances. We need to determine whether there is a legitimate hardship, what resources may already be available, and whether United Way assistance is the appropriate solution.
This isn't about doubting someone's story. It's about doing our due diligence. Our goal is to make sure that assistance is provided fairly, consistently, and to those who truly need it.
Every Dollar Represents Someone's Generosity
A donation to the United Way of Bristol represents a choice someone made to invest in their community. It might be a weekly payroll deduction from an employee. It might be a $50 gift from a family. It might be a corporate contribution or a major gift from a longtime donor.
Regardless of the amount, every dollar represents someone's generosity and trust.
Our donors expect us to be good stewards of those dollars. They expect us to look carefully at requests for assistance and make thoughtful decisions—not simply approve every request that comes our way.
That responsibility is one we take seriously.
Sometimes "No" Is Part of Responsible Stewardship
There may be times when we cannot provide financial assistance. The requested documentation may not support the hardship. The individual may not meet the program's eligibility requirements. Another resource may be more appropriate. Or there may simply not be funding available for that particular need. Saying no is never something we take lightly.
But responsible stewardship sometimes means saying "not this way" or "not at this time" while helping someone identify another possible resource.
Our commitment is not to give everyone exactly what they ask for. Our commitment is to help people find a path forward whenever we can.
Helping With Accountability and Compassion
Accountability and compassion don't have to be opposites. We can recognize that someone is struggling while still asking for the information necessary to make a responsible decision. We can listen to someone's story while also verifying the circumstances. And we can treat every person with dignity while maintaining standards that protect the resources entrusted to us.
That's what our community should expect from the United Way of Bristol.
When you support United Way, you aren't simply giving money to an organization. You're investing in a community-wide system of support that works to put resources where they can make the greatest difference.
And when someone reaches out for help, we want them to know that we are here to listen and help them navigate their options. We just ask for their partnership in the process.
Because doing our due diligence isn't a barrier to helping people. It's part of how we make sure we're helping responsibly.
